The holder
The employee who received the item and the site where it is used.
Equipment and vehicles
A drill out for three weeks, a laptop never returned when someone leaves, a vehicle with expired insurance: what is not written down gets lost. EASY-RH records who holds what, since when, and every deadline.
Tools and equipment
Each tool or machine has a record (type, name, photo), filed in your own categories. An assignment gives the employee, the site, the date and time of hand-over, then those of the return.
The employee who received the item and the site where it is used.
Until a return date is entered, the item counts as out.
To value the use of equipment on a site or project.
A unique tool cannot be assigned twice at once; shared equipment can.
Vehicles
Each vehicle has a record: make, type, fuel, registration, chassis number, photo and registration document. The fleet can be loaded from Excel, and it is what travel orders offer.
| Item | What you record | What you see |
|---|---|---|
| Insurance | Period, amount, certificate | Days left before expiry |
| Road tax | Period, amount, receipt | Days left before expiry |
| Technical inspection | Period, amount, report | Days left before expiry |
| Repairs | Each job | The vehicle's history |
When an employee leaves
The offboarding checklist picks up what was handed over on arrival: the list of returns reminds you of the equipment, badges and access to recover before the exit.
Its current assignment shows the employee, the site and the hand-over date; with no return date, it is still out.
Yes: an item can be set to accept several assignments at the same time.
Each vehicle shows the days left before its insurance, road tax and inspection expire.
