Travel and expenses

Travel orders and expenses, from departure to balance

A business trip is planned, approved, funded and justified. EASY-RH follows each step: the travel order, the advance handed to the employee, the expenses and their receipts, down to each person's balance.

Travel orders

A trip prepared and approved

  • The employee prepares the travel order from their space, or a manager creates it for them
  • Each type of trip is assigned to the managers in charge of it
  • Nobody approves their own travel order
  • Searches show the total planned costs of the trips found
  • Each order exports to Excel

Statistics

What your business travel costs

Approved orders can be read by year and month, by trip type, by kind of expense and by requester, compared with the previous period and exported to Excel. Enough to follow a travel budget without a separate spreadsheet.

Cash and expenses

Money advanced, spent and justified

  1. The company fund

The money the company sets aside, approved by a manager.

  2. The employee advance

An amount handed to a person, linked to a travel order if needed, and confirmed by the employee on receipt.

  3. The expense

Each cost entered with its receipt, then approved or refused by the designated approvers.

  4. The balance

What each employee still holds: advances received minus approved expenses.

Spending limits can be set by job title, and a report shows the state of the cash funds at any time.

Frequently asked questions

Can employees request a travel order themselves?

Yes, from their space. The request then follows the approval flow.

Can an advance be linked to a trip?

Yes. A cash advance can be linked to the travel order it funds.

Can several people approve expenses?

Yes, approvers are designated and the expense is accepted or refused according to their decisions.

Is the journey tracked by GPS?

No. There is no journey tracking: the trip is described, approved and justified, without location.
