Leave and absence

Leave management: one request, one decision, the right balance

No more lost forms or balances recalculated by hand at year end. The employee asks, their manager decides, and the balance updates itself in line with the Labour Code.

The flow

How a leave request travels

  1. Request

From their self-service space, the employee picks dates, full or half day, date by date. HR may also record leave on behalf of one or more people.

  2. Check

Public holidays are not deducted, and any overlap with a punch or an absence is flagged before sending.

  3. Decide

The line manager is emailed and approves or refuses; other approvers can add their opinion, shown next to the decision.

  4. Update

Approved leave reduces the balance, replaces the planned schedule and prints on a document with your letterhead.

Balances

Balances calculated under the Labour Code

The basic entitlement is one and a half days per month of service, or 18 days a year (Article 231). Each full five-year period of seniority adds one and a half days, up to a ceiling of 30 days a year (Article 232). EASY-RH applies these rules employee by employee:

Paid annual leave by seniority (Articles 231 and 232)
SeniorityDays per year
Under 5 years18
5 to 9 years19.5
10 to 14 years21
15 to 19 years22.5
20 to 24 years24
25 to 29 years25.5
30 to 34 years27
35 to 39 years28.5
40 years and over30 (ceiling)
  • Employees under 18: two days earned each month
  • Unused days carry over for two consecutive years at most (Article 240); after that they are shown apart as lost
  • Only paid annual leave reduces the balance; other leave types are tracked separately

Employees can read the detail of their balance: earned, carried over, taken, lost and available.

Absences and short exits

Documented absences, exits of a few hours

Absences

Flagged by the employee or entered by HR, with proof (certificate, summons) attached as a photo or PDF, then decided by a manager.

Exit passes

A few hours away during the day, requested and approved without using leave.

Time off in lieu

Compensatory days, counted in days.

An approved absence can count as working time or not, day by day; a refused absence adds no hours.

Frequently asked questions

Do we still have to track leave balances by hand?

No. The calculation follows the Labour Code: 1.5 days per month, a seniority bonus every five years, at most 30 days a year, and carried-over days lost after two years.

Can employees ask for half a day?

Yes, for each date in the request: full days and a half day can be combined.

Who approves leave?

The manager named in the employee's record. Others can be consulted and give their opinion.

Are employees told about the decision?

Yes, by email, when notifications are switched on.

Can a medical certificate be attached?

Yes, as a photo or PDF, from the employee's space or by HR.
